Market Your Architecture - Agency PM & Process Optimization

Challenge

Market Your Architecture is a marketing agency serving architecture firms. When I joined, the team of 7 was operating without a structured project management system. Tasks were being tracked informally, SOPs didn't exist for key processes, and the team needed someone to bring order to daily operations while keeping campaigns and content production on track.

What I Did

• Set up and configured ClickUp as the agency's central work management platform
• Designed task assignment workflows, daily cleanup routines, and notification structures
• Built SOPs for key processes including the "green launch" content workflow
• Managed job postings and coordinated video editors
• Handled calendar management, time tracking, and sales support
• Provided ongoing project management across all active campaigns and client work
• Managed tools like LastPass, scheduled episode checks, and handled content uploads

How I Worked

I was hired for "lightweight project management" but quickly expanded my scope. I autonomously took ownership of ClickUp management, automation, and overall PM for the full team. I treated it like my own operation, cleaning up tasks daily, making sure owners knew what was pending, and continuously improving workflows rather than just maintaining them.

Results

• ClickUp fully operational as the team's single source of truth
• SOPs documented for repeatable processes
• Daily operations running smoothly with clear task ownership
• Contract was extended and my role expanded due to performance
